Job Summary

Our client, a Nigerian real estate investment company focused on rentals and development is looking to hire for this position. The Executive Assistant will work with the Directors to enact operational excellence. They will demonstrate an ability to lead with business judgment and discernment.

  • Minimum Qualification:Degree
  • Experience Level:Mid level
  • Experience Length:5 years

Job Description/Requirements

Responsibilities:

  • Carry out diary management and coordination of meetings and calls, often  over several time zones, and changing diaries 
  • Liaising with a different state or corporate bodies 
  • Reporting on/overseeing various teams 
  • Organise business travel, including arranging visas, COVID testing, travel forms, flights, transportation, accommodation and restaurants, and entertainment as required. Liaise with protocol officers, drivers, and other support staff to  ensure smooth travel  
  • Ensure all relevant materials including briefing packs are produced in a  timely and accurate manner, ensuring the Directors always have the relevant  material ahead of any meeting or trip  
  • Maintain birthday and significant event calendar and research, recommend and purchase gifts for family and friends  
  • Assist in planning and executing events  
  • Work with accounting to track expenses and make issue basic purchase  requests for Director's approval 
  • Draft and dispatch reports, emails, agendas, and minutes/records of meetings as required. Follow up to ensure requisite tasks are completed (e.g., Directors have signed various documents)  
  • Coordinate, attend and take minutes for regular (every two weeks) update calls with the Directors 
  • Observe a code of strictest confidentiality at all times  


Requirements:

  • 5 years experience as an executive assistant or personal assistant to an executive (Ideal but not required)   
  • History of using technology as an enabler, with proficiency in applications including MS Word, MS Excel, MS Outlook, Zoom, Google  Calendar (Critical)

  • Exercises considerable discretion and maintains appropriate confidentiality
  • Demonstrates a drive towards self-development and a desire to help others develop.
