This role requires a proactive individual with strong organizational, time management, and multitasking skills.

Job Description/Requirements
Responsibilities:
- Administrative Support: Manage the Founder’s calendar, schedule appointments, and coordinate meetings. Prepare meeting agendas, take minutes, and follow up on action items.
- Communication: Handle email, telephone correspondence, and company direct messages (DMs) on social media platforms on behalf of the Founder. Act as a liaison between the Founder and other staff, clients, and external partners.
- Social Media Engagement: Monitor and respond to inquiries, bookings, and feedback received through the company’s social media DMs in a timely and professional manner.
- Project Coordination: Assist in planning, coordinating, and executing special projects and events. Monitor project timelines and ensure deliverables are met.
- Reporting: Prepare reports, presentations, and briefs for the Founder, summarizing business updates, client feedback, and operational performance.
- Travel Arrangements: Organize travel, accommodations, and itineraries for business trips.
- Office Management: Oversee office supplies, equipment, and vendor relations to ensure the smooth running of day-to-day operations.
- Client and Stakeholder Management: Handle VIP client bookings, inquiries, and complaints with professionalism, ensuring high satisfaction levels.
- Team Coordination: Support the leadership team with operational tasks, including staff scheduling, payroll administration, and resource allocation.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Requirements:
- Bachelor’s degree or equivalent work experience in Business Administration, Management, or related field.
- 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Previous experience in the beauty, hospitality, or spa industry is an advantage.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Strong problem-solving skills and attention to detail.
- Experience managing social media DMs and customer engagement on platforms like Instagram, Facebook, etc.
- Ability to work independently and take initiative.
- Professional demeanor and appearance.
