Job Summary

The Executive Assistant will be responsible for providing comprehensive support to the Executive and he shall manage the organization’s office operations. This position requires you to anticipate needs, think critically, and offer solutions to problems, with a high level of professionalism. This role will report directly to the Admin Manager.

Job Description/Requirements

Key Responsibilities:

  • Provide calendar management for the Executive.
  • Support the Executive by attending functions or meetings.
  • Support the administration needs of the Executive.
  • Ensure the company and office building is well maintained.
  • Prepare memos, follow up on tasks assigned to other managers assigned by the Executive.
  • Plan, coordinate, and ensure the Executive’s schedule.
  • Facilitate travel plans. Assist with lodging, and meal planning as needed.
  • Maintain discretion and confidentiality in relationships with all management members.
  • Communicate on behalf of the Executive with internal and external stakeholders on matters related to the Executive's activities.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the Executive.
  • Work closely with the Executive to keep him informed of upcoming commitments and responsibilities, following up appropriately.
  • Follow through on projects to successful completion, often with deadline pressures.
  • Ability to complete a high volume of tasks with little or no guidance.
  • React with an appropriate level of urgency to situations that require a quick response.

Requirements:

  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Should be able to drive.
  • This position is open to preferably Male applicants
  • Knowledge of preparing memos and managing upper supporting the follow up on tasks assigned to other managers assigned by the Executive.
  • Bachelor’s degree or equivalent in Business Management or a related field.
  • Must be able to work on weekends when called upon.
  • Cognate experience in a similar role is an added advantage.
  • Exceptional writing, presentation, and verbal communication skills.
  • Be a listener Proactive and analytical.
  • Knowledge of Project Management.
  • Be able to manage confidential information.
  • Good reporting and negotiating skills.
