ADMINISTRATIVE OFFICER

Job Summary

You will act as the point of contact for all employees, providing administrative support, and managing their queries.

Job Description

Your main duties will include managing office stock, preparing regular reports (e.g. expenses and office budgets), and organizing company records. Ensure administrative activities run smoothly on a daily and long-term basis. If you have previous experience as an Office Administrator or similar administrative role, we will like to meet you. Our ideal candidate also has a working knowledge of office equipment and office management tools.

KEY RESPONSIBILITIES

● Manage office supplies stock and place orders when necessary

● Prepare regular reports on expenses and office budgets

● Maintain and update the company’s databases regularly

● Organize a filing system for important and confidential company documents and sectionalise them based on departments

● Answer queries by employees and clients

● Update office policies as needed

● Maintain a company calendar, as well as the calendar of the CEO, and schedule appointments

● Coordinate and lead a presentation when necessary

● Book meeting rooms as required

● Distribute and store correspondence (e.g. letters, emails, and packages)

● Prepare reports and presentations with statistical data, as assigned

● Arrange travel and accommodations when necessary

● Schedule in-house and external events

OUR ESSENTIAL REQUIREMENTS

● Proven 2-5 years of work experience as an Administrative Officer, Administrator or similar role

● Solid knowledge of office procedures and office management

● Experience with office management software like MS Office (MS Excel, MS Word, and PowerPoint specifically)

● Strong organisational skills with a problem-solving attitude

Excellent written and verbal communication skills

● High attention to detail

● Knowledge of collaborative tools like Zoho, basecamp, and slack is a plus

● A degree in Administration and certification is a plus.
