Job Description

WE SEEK A PERSON THAT CAN: 

  • Provide comprehensive organisational and administrative support services to all teams within the organisation; to aid each team successfully fulfil their various responsibilities; in an accountable way/manner. 
  • Be the key contact person that can filter & direct various range of enquiries, complaints and day to day work issues (some which may be complex and contentious). 
  • Be responsible for meeting corporate standard and targets for complaints by providing information, acknowledging enquiries, queries promptly and effectively. 
  • Contribute to projects which have an impact on the administration of Turnkey PrintWorld Limited. 
  • Be proactive in supporting the mission statement of the company. 
  • Be accountable for the effective provision of various functions within the policies & regulations; in a way that meets the diverse needs of the organisation. 
  • Be responsible for all administrative functions, human resources functions and others on the request of the GM and MD/CEO. 

Responsibilities 

  • To support the entire organisation area, in promoting the ‘one service’ and Service First vision, and continuous improvement for enhancing service delivery and performance 
  • To support the GM, MD/CEO and other managers. 
  • Organise and manage the GM, MD/CEO daily activities by forwarding each work programme & dairy by managing appointments and prioritising commitments. 
  • To manage MD/CEO correspondence especially emails by filing, responding and archiving. 
  • Management the front office elements and staff of the organisation. This includes cashier, customer services officers and cost estimators. 
  • To provide administrative support to all another team within the service. 
  • To plan, manage and monitor a variety of tasks and actions to meet deadlines and ensure the service schedules are run smoothly. 
  • Support the organisation by adhering to governmental returns, statutory returns and other laid down documentation as stipulated in the laws of the Federal Republic of Nigeria. 
  • Develop and maintain confidential filing systems e.g. (HR files), including an effective follow-up and highlight system for all staff across the service. 
  • Responsible for HR files by maintaining a system for issuing and checking in of staff files by managers. This includes supervision schedules, 1-2-1, inductions, training, payroll management, reviews, recruitment and all other HR & administrative matters. 
  • To monitor/supervise and track the progress of all complaints and queries (including complex/sensitive complaints from various sources) and also ensure its full resolution. 
  • Prioritise, monitor and disseminate correspondence plus information on behalf of the MD/CEO. 
  • Support MD/CEO, GM and managers in meetings, make travel arrangements and also support other ad-hoc activities. 
  • Examine agendas & reports on items of concern; prioritise and prepare briefing notes for the MD; this includes managing the reporting processes for example financial returns, various remittances, tax-related matters, delegated reports, proposals, bid documents and others etc. 
  • Maintain/collate regular statistical data, performance analysis/financial/budgetary reports and data, investigating discrepancies/variations as required as reported from front office activities. 
  • Act as the key point of contact for the MD/CEO and service managers, dealing with high level and complex enquiries where possible. 
  • Establish an excellent relationship with all the key stakeholders of the service and its different business units enhancing and maintaining council standard. 
  • To create proper inventory control with various analyses for various items { operational, graphics, production} by providing a weekly, monthly, quarterly report. 

Qualifications and Skills 

  • BSC or HND in Business Management or related discipline, from a reputable University or Higher Institution, 
  • Minimum 3 years’ experience and successful track record in administration, career management, human resource management, inventory management, financial reporting and returns. 
  • Strong organizational skills with the ability to multi-task and meet deadlines in a dynamic, fast-paced environment, while projecting a positive attitude 
  • Must have great energy and ability to generate significant new revenues strategy for the organisation. 
  • Strong prospecting, qualification/needs analysis, and closing skills. 
  • Excellent verbal and written communication skills, along with the ability to present complex solutions to an audience. 
  • Excellent experience with various office programs, Ms-Word, Excel, Power-point and others. 

Description: 

  • Use Microsoft Office products such as Access, Word, Excel, PowerPoint, E-mail to produce letters/replies for MD/GM, managers as required and utilise available IT systems in TPWL Services and telephone/fax/copier to respond effectively. 
  • Undertake research and other projects on behalf of the MD/GM and ensure Project Managers and Senior Management to enable these projects to be delivered in due time, request for quarterly & yearly budget and to agreed quality standards and priorities, through SMART target setting, as requested 
  • Promote a collaborative working environment, both and within the organisation.

  • Ensuring all feedback and complaints and queries are logged and processed effectively.

  • Attractive Salaries and commission rates vary considerably in sales.
