Job Description

Maintain existing financial systems including:

  • Petty cash advances and expenditure administration, approvals and disbursements
  • Main Cash Account advances, expenditure administration approvals and disbursements
  • Income & expenditure recordings and posting in the accounting software
  • Verify, Validates and Process all payments  for approval and subsequently through Bank disbursement vouchers
  • Cash flow Management
  • POS Payment monitoring and management
  • Preparation of Monthly bank reconciliation.
  • Preparation of monthly Payroll and payments
  • Prepare and submit weekly reports
  • Prepares and remits all statutory financial obligations  on a monthly basis such as
  • Value Added Tax
  • PAYE – Pay As You Earn
  • Pension remmitances
  • ETC
  • Executing all financial, operational policies  and controls set by management for the smooth running of the office are strictly adhered to
  • Work with the Management to improve existing systems to reflect bigger staff team and smoother administration and implementation of policies
  • Prepares quarterly and annual budgets for the smooth running of the company
  • Log and submit all claims to management and maintain all relevant paperwork in good order
  • Provide Management Committee with full monthly financial report
  • Assist in the preparation of annual accounts
  • Ensures Stock counts on a quarterly basis , however fast moving stocks MUST be counted monthly
  • Assist with project financial related work as required
  • Administer employee files and records in order to ensure accurate payment of benefits and allowances such
  • Document new employees
  • Establish employee files in the computerized accounting system
  • Administer benefit entitlements
  • Verify and report on benefits payments
  • Maintain the leave management system
  • Verify annual leave records
  • Calculate and action deductions
  • Submit remittances
  • Prepare separation  / Exit documents for terminated employees
  • Maintain confidential employee files

 

  • Overall day to day efficient and effective office management such as
  • Maintaining the electrical units level
  • Ensures all assets, systems and computers are in good working condition
  • Supervises the office assistant in the execution of his day today responsibilities
  • Supervises the Drivers in the administration of their duties and maintenance of vehicles
  • Management of logistics and delivery of orders to customers
  • Order office supplies
  • Manage the filing, storage and security of documents
  • Respond to inquiries
  • Manage the repair and maintenance of computer and office equipment
  • Maintain insurance coverages
  • Administer government services including motor vehicles and vital statistics
  • First point of contact to deal with queries and provide information about staff, clients and vendors
  • Secures and ensures effective and optimal use of the company assets and resources
  • Organize, maintain and tidy the office area and equipment
  • Be proactive in finding more efficient ways of working through use of new tools or procedures
  • Ensure knowledge of staff movements in and out of office maintaining a diary system for all staff either manually or electronically
  • General administrative support including preparing letters and documents, receive and sort mail and deliveries, schedule appointments
  • Organize meetings for the staff team and also the Management Committee
