We seek to fill the position of an Executive Assistant


  • Providing personal assistance to the Managing Director.
  • Assist with the recruitment and development of personnel.
  • Implementing Terms and Conditions of employment.
  • Liaising with the financial and legal representatives of the company.
  • Assist with projecting a positive image of the company.
  • Keeping of accounting records, with the support of the Company Accountant.
  • Ensure timely submission and processing of invoices.
  • Track movement of all invoices within system on a daily basis, to ensure that invoices are paid as and when due.
  • Prepare monthly report of invoices, as an input for cash flow forecast for the month.
  • Investigate any invoice noted to be overdue or in contention and give feedback to the Managing Director.
  • Assist in reporting administrative work done within projects control, including maintaining records.
  • Initiate and manage office filing systems, including management of timely production, circulation and handover of project documents.
  • Assist with establishing and maintaining a database of all project activities from initiation to completion of work activities.
  • Manage office services (including forecasting, ordering and expediting) for provision of furniture, equipment, communications, stationery and consumables.
  • Responsible for allocating job functions to the Admin Assistant.
  • All other responsibilities delegated by the Director

Qualification and Experience

  • Minimum of a BSc. (2nd Class Lower) in Business Administration, Economics or Accounting.
  • Minimum of 5 years working experience in similar or Administrative capacity.
  • Ability to use Microsoft Office Packages and any Accounting Software

The Candidate should also possess:
