A provider of shared office spaces and virtual office services is recruiting for a receptionist (client services manager)


Responsibilities of the client services manager include

  • Meeting and greeting clients
  • Warmly receiving visitors, in person or on the telephone; answering or referring inquiries
  • Handling correspondences and communication for the virtual office services department
  • Booking meetings
  • Representing the company in presenting services on offer to potential clients
  • Directing visitors to appropriate departments by maintaining employee and department directories; giving instructions
  • Maintaining security by following procedures, monitoring the logbook and issuing visitor badges
  • Maintaining continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
  • Maintaining a safe and clean reception area by complying with procedures, rules, and regulations; coordinating with cleaning staff and facility officer in this regard
  • Screening potential clients to ensure they meet the required criteria and they comply with the company’s terms and conditions
  • Arranging courier
  • Screening phone calls
  • Sorting and distributing posts
  • Contributing to the company’s team effort by accomplishing tasks as needed
  • Submitting reports as required by management and ensuring data is accurate


Skills and qualities

  • Male or female with a first degree from a tertiary institution
  • Demonstrable telephone and face-to-face speaking and listening skills
  • Clarity in pronunciations and confidence in speech
  • Good presentation skills
  • Microsoft Office skills
  • Professionalism in bearing and comportment
  • Ability to maintain focus on customer and not on personal feelings
  • Workplace organisational and interpersonal skills
  • Ability to handle pressure and meet deadlines

  • Age:  Not more than 30
  • Ability to protect the values and confidentiality of information of the organisation, any of its businesses, affiliates and clients
  • Willingness to update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organisations


Education and qualifications

Minimum of a first degree from a tertiary institution

Qualifications and experience in speaking, speech writing and communication are an added advantage
