Under the direct supervision of the Manager, HR & Admin this position provides administrative and secretarial support for the executive management and department. The position is also responsible for directing and coordinating office services and related activities Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.


Duties and Responsibilities

  • Establishes, develops, maintains and updates filing system for Executive Management and the department. Retrieves information from files when needed. 
  • Ensure that all departments submit their monthly report to the appropriate executive.
  • Liaising with suppliers and maintaining excellent professional relationships externally.
  • Supervises and coordinates overall administrative activities for the company. 
  • Supervises the maintenance and alteration of office areas and equipment as well as layout, arrangement and housekeeping of office facilities.
  • Negotiates the purchase of office supplies and furniture, office equipment, etc. for the entire staff in accordance with company purchasing policies and budgetary restrictions.
  • Supervises the maintenance of office equipment, including copier, official car, etc.
  • Manages the day-to-day operations of the facility (such as changing light bulbs, electrical problems, water problems, general repairs in the department, etc.)
  • Participates as needed in special department projects.

  • A minimum of 1 year experience in administrative functions or related field
  • Higher National Diploma or Bachelor’s degree in any field
  • Management related certifications will also be an added advantage


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.


Physical Requirements

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. The employee must occasionally lift office products and supplies weighing up to 5 kg.


Supervisory Responsibility

This position manages all employees under administration as a sub-unit.
