POSITION DESCRIPTION OVERVIEW: 

A Receptionist / Office Secretary is a key role in a sales driven organization, receptionist would be responsible for professionally greeting, welcoming, and directing clients/customers/visitors appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system. As a member of the team, you will be responsible for providing an honest, friendly service to our clients /customers by actively ensuring their comfort and gaining their trust within our office environment by all necessary means.

As a receptionist / Office Secretary you will be the first point of contact for the company and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

 

Responsibilities and Expectations of the Receptionist / Office Secretary

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Receive and sort daily mail/deliveries/couriers
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
  • Update appointment calendars and schedule meetings/appointments
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.

 

Qualifications and Requirements

  • Proven working experience in similar roles
  • Proficient with Microsoft Office Suite
  • Professional appearance
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
  • High school degree. Diploma/HND/OND or any equivalent certification is a plus.
  • The successful candidate shall be an energetic, effective, self-starter with strong verbal and written communication skills who is able to excel in a high demanding sales environment.
  • Strong communication and presentation skills and a thorough knowledge of various corporate languages is a plus.
  • Awareness and involvement in the most updated trends, facts, news, fashion, lifestyle, celebrity and events happening on the TV, radio, social networks.
  • Must have a flexible working time and must be willing to work under the supervision of the Operations and General Manager
  • Must have at least 2 years working experience in the same field
