Job Description

The Targeted States High Impact Project (TSHIP) is a five year program focused on the improvement of health systems and management of health systems for higher quality Maternal, Neonatal and Child Health, Family Planning and Reproductive Health service delivery in Nigeria.

The Secretary/Receptionist will ensure a clear and effective communication within the office, receive documents and mail, distribute mail to the concerned project staff and answer phone iniquiries. S/he will report to the Assistant Finance Specialist.

Responsibilities include:

• Greeting visitors and notify concerned project staff of the presence of a visitor; taking proper message for the person when s/he is not available
• Answering and directing phone calls
• Sending, receiving and distributing project mail, maintaining incoming/outgoing mail log
• Maintaining project calender including coordination of all project activities, vehicle schedules and equipment scheduling
• Liasing with vendors, job candidates, press, consultants and government officials as needed
• Providing administrative and logistical support to project staff and consultants as neccess
• Other duties as assigned

Qualifications

• High school diploma required (University degree preferred) and at least 2 years experience working as a secretary, receptionist or in another administratice capacity, preferably with international projects
• Experience in organizing and managing meeting logistics
• Working knowledge of Microsoft Office suite
• Solid judgement, critical thinking and ability to solve problems and multitask
• English language proficiency
• Experience in the respective region (Bauchi or Sokoto) and
• Strong communication and interpersonal skills
